General Information

Exhibition booths will be made available at IALCCE 2023. The Exhibition areas will be located at the Ground Floor and First Floor of the Trifoglio Building, the main building of the Symposium Venue, in the Coffee Break areas and along the routes from the Main Entrance to the Plenary Room and Symposium Rooms for Technical Sessions. This arrangement will provide the Exhibitors with the best exposure to the Symposium Delegates.

The deadline for Exhibitor registration is June 20th, 2023.

Small-, Medium-, and Large-size exhibition booths modules will be made available. Double booths can also be arranged upon request. The exhibition booths include all basic requirements for Exhibition. The booths can also be customized with extra services and accessories upon request (see Additional Services and Furniture Rental).

Exhibition booths will be assigned on a “first come, first served” basis in order of application.

Exhibitor Registration Fees

The deadline for Exhibitor registration is June 20th, 2023. Different Exhibitor registration fees apply for Small-, Medium-, and Large-size booths.

22% VAT is not included. Foreign institutions and companies (European and Worldwide) are not charged VAT provided that they can submit their tax identification number or VAT number. 22% VAT is due in all other cases.

The Exhibitor registration fee includes:

  • Aluminum frame modular exhibition booth with alluminium panels
  • Basic booth equipment (table 120x56cm h100cm, 2 stools h63, waste bin, electrical socket)
  • Digital printing of corporate name on panel #3 (120 x 30 cm)
  • Symposium registration as Exhibitor for 2 people. Note: Exhibitors already registered as Delegates to present technical contributions are eligible for a discount of 50% of the registration fee already paid provided that they do not exceed the two participants included in the Exhibitors Fee.

* Exhibitors will provide graphic design images for the optional Extra Digital Printings (Panels #4 and #5). Please note that this extra service is upon request and will be available until June 12th, 2023.

Participants registered as Exhibitor will have access to the Welcome Reception, Lunches, Coffee Breaks, Gala Dinner, and Post-Symposium Tour. Exhibitors can also attend the Technical Sessions, but they are not allowed to present technical contributions.

To present technical contributions a separate Symposium registration as Delegate (i.e., IALCCE Member, Non-Member, or Student) is required. A Delegate registration is also needed in case of other people wishing to attend the Symposium and exceeding the two participants included in the Exhibitors Fee.

Exhibitor Application Process

The exhibition booths will be assigned to applicants on a “first come, first served” basis in order of application. To reserve exhibition booths, please complete the Online Exhibitor Application Form.

Tailored Forms of Exhibition and Display

The Symposium Organizing Secretariat can assist the Exhibitors to plan and choose tailored forms of Exhibition and Display opportunities to get the desired level of involvement and exposure. Payment and Cancellation Policy

Exhibitor Registration Fees must be paid upon receipt of the invoice from the Symposium Secretariat via bank transfer to the following bank account:

Proof of payment should be sent to the Symposium Secretariat within 3 days of receiving the invoice. Please note that if a proof of payment is not received within this deadline, the registration may be cancelled and the selected booth(s) may be released to other prospective Exhibitors. In any case, registration is not considered complete until receipt of payment.

All fees do not include Italian 22% VAT. Foreign institutions and companies (European and Worldwide) are not charged VAT provided that they can submit their tax identification number or VAT number. VAT exemption status will be indicated in the invoice that will be sent after registration. 22% VAT is due in all other cases.

If payment by bank transfer is not possible, please contact the Organizing Secretariat by e-mail at secretariat@ialcce2023.org to arrange an alternative payment method.

Please note that it is important to follow the instructions carefully and to make the payment within the specified timeframe. This is to ensure that the registration is complete and that the Exhibitor can actually participate in the Symposium.

Refund of the registration fees with a retain of 100 Euros of processing fee (plus 22% VAT if due) will be provided for cancellations received prior to May 26th, 2023. No refund will be provided after this date.

Additional Services and Furniture Rental

The layout of the exhibition booths include all basic requirements for Exhibition. Additional services can be provided by Lab Allestimenti of Politecnico di Milano. The full list of the services and furniture available for rental will be made available upon request. Lab Allestimenti will work one-on-one with each of the Exhibitors in order to satisfy their specific exposure needs.  Additional services and forniture rental may be not available after the deadline for Exhibitor registration.
