Online Registration

Participants are required to complete the online registration process through the Symposium Management System.

Registrants shall use their existing user account if already created (f.i. to submit or review papers).

After filling in the online registration form, registrants will be able to select the preferred method of payment by credit card or bank transfer. The deadline for early bird registration is March 24th, 2023 (EXTENDED). Regular registration is available after this date.

Publication of accepted Full Papers in the Symposium Proceedings is guaranteed on condition that the Presenting Author is registered at the Symposium. One registration may cover up to two (2) papers presented at the Symposium.

Registration Fees

Different Symposium registration fees apply for IALCCE Members, Non-Members, Students, and Accompanying Persons. IALCCE membership applications can be submitted through the IALCCE website (https://www.ialcce.org). The deadline for Early Bird registration refers to Central European Time Zone (CET). Full registration as IALCCE Member, Non-Member, or Student is required for Presenting Authors and co-Authors.

* Rates are in Euros and 22% VAT is not included in the fees. VAT is due in all cases except registrations paid by institutions and companies subjected to VAT exemption policies. More specifically:

  • Public bodies of Italian Public Administration (PA) able to issue an official document (Order Form) proving the VAT exemption status (see the dedicated section posted below in this page for invoicing to Italian PA);
  • Foreign (European) institutions and companies are not charged VAT provided they can submit their VAT Identification Number and they are registered in the VAT Information Exchange System (VIES);
  • Foreign (non-European) institutions and companies are not charged VAT provided they can submit their VAT or Tax Identification Numbers.

Participants eligible for VAT exemption are requested to contact the Symposium Organizing Secretariat at secretariat@ialcce2023.org to provide the following information:

  • Institution/Company name
  • Institution/Company full address
  • Institution/Company VAT and/or Tax Identification Numbers.

In the subject of the email please indicate: “VAT Exemption Request”

In this way participants will receive a VAT Exemption Authorization Code to be used during the registration process in order to have access to the VAT-free registration fees.

** Students must provide a proof of their status to complete the registration. Documents need to be uploaded during the registration process and must be issued in this calendar year.

*** Limited capacity may apply for the Post-Symposium Tour. The available slots will be reserved to registered participants on a first-come first-served basis. Therefore, full registration does not guarantee attendance of the Post-Symposium Tour.

Payment

All payments must be made in EUR. You can choose between two forms of payment: Credit card payment or bank transfer. Registration is considered completed after full payment is received.

Invoicing to Italian Public Administration (PA)

When wanting the registration to be invoiced to a public body of the Italian P.A., payments cannot be made by credit card or by bank transfer from a personal bank account. Participants are requested to register online selecting bank transfer, but the payment must be issued directly by the public body. To this purpose, the public body has to provide an official document (Order Form) containing the commitment to pay, billing data and, if it is the case, VAT exemption (indicating Article number) or split payment regime.

Registration Policy for Presenting Authors

Publication of the scientific papers in the Symposium Proceedings is guaranteed on condition that the Presenting Author is registered at the Symposium. Participants registered as Exhibitors are not entitled to give a presentation. Each registered Author will be entitled to present a maximum of two papers at the Symposium.

On Site Registration

Online registration will be availlable until July 1st, 2023. After this date, on site registration will be possible during the entire duration of the Symposium within the opening hours of the registration desk. A surcharge of 10% of processing fee will be applied to regular fees for on site registrations.

Cancellation Policy

Refund of the registration fees with a retain of 100 Euros of processing fee (plus 22% VAT if due) will be provided for cancellations received prior to April 20th, 2023.. No refund will be provided after this date. Substitutions of individuals attending are accepted up to June 23rd, 2023.
